This notice explains how Impact Robotics League handles information submitted through this website and created while running IRL events.

Who operates IRL
Impact Robotics League is operated by Placer Advanced Robotics and Technology (PART), a California nonprofit public benefit corporation. Privacy questions and requests go to irl@placerrobotics.org.
Information we collect
- Adult contacts: name, email address, phone number when provided, organization, team, and account information.
- Mailing-list subscriptions: email address, signup time, signup page, and subscription status.
- Student participation: name, grade, organization, team, robot assignments, event entries, and waiver status. Students do not receive IRL accounts, and IRL does not ask students for an email address or phone number.
- Robots and events: robot names and photos when provided, check-in and inspection records, match results, awards, rankings, XP, and related event records.
- Waivers: participant and signer names, signer relationship, signature records, the document shown and accepted, delivery records, IP address, browser information, and the signing audit trail.
- Payments: Zeffy processes payments. IRL receives transaction identifiers, buyer name and email, amount, ticket information, and payment status. IRL does not receive the full payment-card number.
- Technical information: security and service logs, IP address, browser information, authentication cookies, and a random event-voting cookie.
How we use information
We use this information to register participants, manage teams and robots, collect waivers, reconcile event fees, run events, communicate with adult contacts, protect the system, and maintain official competition records. When a person joins the mailing list, we also use that address for IRL event registration and league updates.
Public competition records
Event names, teams, robots, matches, results, awards, rankings, and robot career records are public. When builder attribution is enabled, a student is shown only by first name and last initial. An authorized adult can turn builder-name display off. Demo events and demo robots are labeled and excluded from official league records.
Service providers
IRL uses service providers to host the website, store and protect data, authenticate adult users, send transactional email, process payments, monitor service errors, and display maps. These services currently include Vercel, Supabase, Resend, Zeffy, Cloudflare, Google Maps, and Sentry when error monitoring is enabled. We share only the information needed for each service to perform its work.
IRL does not sell personal information or use targeted advertising on this website.
Retention
Competition results are retained as the historical league record. Signed waivers, signing evidence, and related audit records are retained to document participation and the agreement. Other records are kept while needed to operate IRL, meet legal, insurance, safety, or accounting obligations, resolve disputes, and protect the service. The system does not currently use an automatic deletion schedule for signed waiver records.
Your choices
An adult contact can ask to review or correct personal information, turn off public builder-name display, or request deletion where deletion does not conflict with a legal, safety, financial, waiver, or official competition-record requirement. Email irl@placerrobotics.org.
Security
IRL limits access to private records by role and uses technical and administrative safeguards. No online system can guarantee absolute security.
Changes
We will update the effective date when this notice changes. We will provide additional notice when a material change affects information already collected.
